Animal Rights Protection Policy

Preamble

The animal rights protection policy of the Pro-Temp® company is based on Act No. 246/1992 Coll., on the protection of animals against cruelty, on the relevant regulations of the European Union and on the international treaties to which the Czech Republic has committed to and expresses respect for all animal rights.

Purpose

With this animal rights protection policy, Pro-Temp® declares its commitment to their protection and sets principles for its activities and behavior in relation to animals.

Principles

  • From our point of view, wild, domestic, and farm animals are creatures that must be exceptionally protected because of their defenselessness towards humans.
  • Animal rights are as important to us as human rights and for this reason:
    • We strictly comply with all binding local and international animal protection laws as well as ethical and moral standards aimed at greater protection of animals against cruelty.
    • We condemn any form, manifestation and/or promotion of animal cruelty.
    • We do not cooperate with companies or institutions that support or profit from animal cruelty.
    • We support all activities aimed at greater protection of animals against abuse.

Range

Compliance with this policy applies to all employees of our company as well as employees of subsidiaries and sister companies. We also require compliance with this policy from subcontractors working on our premises. We enforce this policy with all our subcontractors and suppliers. We are governed by the laws of the countries in which we operate and are committed to complying with all such laws during the implementation of this policy.

 

 


Quality Policy

This Quality Policy establishes the fundamental corporate values and objectives which the management of this company has committed to promote toward the fulfillment of the strategic vision and mission of the organization.

Vision of the Organization

To become a preferred provider of agency employment recruitment and recruitment outsourcing and create a long-term and mutually beneficial business relationship with our customers.  

Mission of the Organization

  • To provide our customers and candidates with pragmatic solutions for their recruitment needs, to the satisfaction of both parties.
  • To achieve the comparable level of quality, loyalty and stability of the temporarily allocated employees as achieved by the employees in the regular labour force.
  • To develop and support the possibilities of our customers for their own growth, through flexible solutions and sensible use of modern technologies when searching for employees with required knowledge and experience.
  • To enable each of our employees, both working for us and allocated with our customers, to do sensible work for a fair wage, regardless of whether their career ambitions are big or small.
  • To request relevant fee for provided services, to achieve adequate profit and continuously grow the value of the company for its owners.

To listen to our customers carefully in order to analyse their needs and expectations.

Reliability – We fulfil the requirements and wishes of our customers in time and in expected and required quality.  We prepare our business offers and contractual relationships with respect to our capacity and in a way that enables us to always deliver what we’ve promised.

Efficiency – To deliver practical and simple solutions with a clearly defined benefit to our customers.

Cooperation – To closely cooperate and create mutually beneficial long-term relations. We are convinced that the best solution is always a result of shared work, sharing of experience and knowledge.

III. Integrity

We strictly obey the valid law, ethical principles and professional standards throughout all our operations. Under any circumstances, we adopt fair, objective, independent and fact-based approach and always act upon these principles. We tolerate no form of corruption or bribery.  

IV. Relationship with partners, providers and third parties

To demand the same responsible approach to the quality of provided services from our partners and suppliers as we have. We only choose partners and suppliers whose quality, professional qualifications, customer attitude and technical standards levels with our high demands and ensures the satisfaction of our customers.

V. Workers

Selection – The selection of own employees and employees who are temporarily allocated to our customers to be conducted based exclusively on their professional and personal abilities, without discrimination.
Development – To fully utilize and develop the creative potential; to care for continuous training and personal development of employees.
Motivation – through an appropriate personal motivation, support of open communication, by supporting the individual’s personality and improving the working environment, to create the conditions for the employees’ loyalty and their active participation in achieving the corporate goals. 

VI. Procedural system of organization management

With the use of the ISO 9000 range standard, to consistently implement the process management system (the Quality Management System – QMS) which is approached as an opportunity and a means to optimize all corporate processes and which provides the tools to its continuous improvement.

VII. Corporate responsibility

We actively promote the concept of social responsibility and business ethics with the aim to contribute to the development of society and improve the life quality of individuals and communities. We are aware of our responsibility towards the owners, customers, business partners, employees within our own labour force and temporarily assigned employees, towards our country we operate in and towards the civil society. We are socially responsible, we limit the impact of our activities onto our environment, and we regularly evaluate and reduce potential risks and help the needy.  

 

 


Environmental Policy

The management of this organization has committed itself, in keeping with the requirements of the ČSN EN ISO 14001 standard, to the minimization of the impact of its activities on the environment. This commitment is defined in the following points.

I. Adherence to legislative statutes

The fulfillment of legislative statutes in the area of environmental protection is an implied constituent of all activities of the organization at all levels of management.
The adherence of activities to legal and other requirements in the area of environmental protection is under constant supervision by an effective monitoring system.

II. Precautions and improvement of environmental quality

The organization analyses and manages its activities in such a way as to most effectively limit any negative impact on the environment with special focus on the following:

  • Reduction in the consumption of resources & sustainable resources management.
  • Energy efficiency & renewable energy.
  • Water quality & consumption.
  • Air quality.
  • GHG emissions.
  • Waste reduction.
  • Reuse and recycling.
  • Decarbonization.
  • Biodiversity, land use and deforestation.
  • Soil quality.
  • Noise emissions.
  • Responsible chemical management.
  • Use of ecologically efficient materials, technologies, and devices.

III. Communication

We inform our external associates, partners, and providers about our principles for environmental conduct, and we require of them the same approach toward the preservation of the environment, reviewing the responsibility of their conduct in this area.
These principles of communication include an open approach to information about environmental aspects of the organization, effective information exchange with other interested parties (the public, our business partners, organs of state administrations) and the consideration of opportunities for further improvement

IV. Accountability and increase of employee awareness

To educate, motivate and lead employees in keeping with the current state of scientific research to greater resourcefulness toward the environment, in the scope of work obligations fulfilled within the organization and without.
To increase employee awareness regarding the meaning behind environmental preservation, influence of activities practiced on the environment, and the possibility to contribute to minimizing their negative effects.

V. Environmental Management System (EMS)

In connection with our Quality Management System (QMS) and in accordance with the international ČSN EN ISO 14001 standard, to create an Environmental Management System (EMS) as the basis for fulfilling commitments to environmental policy and the ongoing improvement of the environmental profile of the organization.

 


Policy for Compliance with Human Rights

Preamble 
The Policy of Human Rights of our company expresses our respect to all human rights.  

This Policy is based on:   

  • UN Universal Declaration of Human Rights and International Conventions which form the International Charter of Human Rights;
  • Declaration on Essential Principles and Rights of the International Labour Organization.

Purpose
The Policy of Human Rights of our company establishes the principles for our activities and conduct in terms of human rights.

Scope 
This Policy applies to all employees of our company, as well as the employees of our filial and affiliated companies. We also require the compliance with this policy from our subcontractors who work in our premises. Also, we enforce this Policy with all our suppliers and subcontractors. 

This Policy summarizes the aspects of human rights from other policies and guidelines of our company. When implementing this Policy, we adhere to the law of the countries we operate in and we pledge to comply with all of these laws.

Forced or Involuntary Labour
We use neither forced nor involuntary labour of any type (for example, forced labour, involuntary labour, labour of unqualified persons or involuntary labour of prisoners); the activities are voluntary.

Child Labour
We use no child labour. The expression “child” applies to any employed person of under 15 years of age (or, respectively, 14 in countries where permitted by law) or any person who has yet not achieved the age requested for the completion of compulsory education or any person who has yet not reached the age as required by law in the respective country, whichever of the options is the highest. We support the legally approved schedules of apprentice centres which comply with all legal acts and regulations concerning such apprentice centre schemes.  

Rewards and benefits
We comply with all relevant laws and regulations concerning wages and working hours, including the minimum wage, overtime labour, piece rate and other elements of wage and we will provide all the benefits as required by law.

Non-discrimination 
We never discriminate applicants when hiring and employing employees due to their race, religion, age, nationality, social or ethnic background, sexual orientation, sex, sexual identity, marital status, pregnancy, political opinions or disabilities. 

Respect and Respectable Conduct
We treat each employee with respect; we use no corporal punishment, threat with violence or other forms of physical violence or harassment. 

Freedom of Assembly
We respect the statutory rights of employees to assemble or not to engage in employee organizations including the union organizations. We create favourable employee conditions and maintain effective programmes of communication with employees as a tool to develop positive relationships with employees.

Health and Labour Safety 
We provide safe and healthy workplace for our employees, in compliance with all relevant laws and regulations. In compliance with these obligations, we implement effective schemes which include the protection of lives, inspection of events, chemical safety, ergonomics etc., and we provide the same standards in terms of health and labour safety in all promises we provide to our employees. We have implemented control systems in order to comply with these requirements.  

Environmental Protection   
We conduct our activities in a way which protects the environment. We comply with all relevant law, regulations and standards concerning the environment, such as requirements on the handling and disposal of chemical products and waste, recycling, handling and disposal of industrial waste water, management of air-borne emissions and compliance with all licences and reports concerning the environment. We have implemented control systems in order to comply with these requirements.  

Laws, including Regulations, and Other Legal Requirements 
We comply with all relevant laws and regulations at all places where the supplier conducts his business. 

Ethics
We always proceed in compliance with the ultimate ethic principles. We adhere to all legislation regarding bribery, corruption and illegal business practices. We make neither offers nor promises, we conduct no payments or gifts (be it a monetary amount or any valuable), direct nor indirect, in favour of anyone, in order to influence or convince anyone to influence a decision in favour of our company, our filial or affiliated companies nor anyone else.

 


Ethical and Ethnical Policy

Our company:

  • Strictly complies with all effective laws of the Czech Republic, all liabilities emerging from international agreements which the Czech Republic has joined, as well as all professional standards and ethical principles. Additionally, our company has its own Code of Ethic Values which governs the standards of conduct and activities of the company and its employees.
  • Tolerates no form of corruption or bribery.   
  • Consistently respects the rights of employees.
  • Supports the equality of opportunities and fair treatment of its employees, regardless of the colour of their skin, race, nationality, social background, possible handicap, sexual orientation, sex, age or political and religious beliefs.
  • Respects personal dignity, privacy and personality rights of each individual.

 


Business Ethics Policy

Preamble

This policy (hereinafter referred to as “the Policy”) outlines Pro-Temp® ’s position on prohibiting and preventing bribery, fraud, dishonesty, and illegal activity of any kind and provides a guide to ethical decision-making. 

Protemp is committed to the highest standards of ethical conduct and integrity in all its business activities. Pro-Temp expects all its personnel to conduct their job or business in accordance with the highest ethical standards and to not conduct their job or business in a manner that could damage the reputation Pro-Temp or cause Pro-Temp to be in violation of any law or regulation.

This Policy applies to all Pro-Temp employees, and to temporary workers, consultants, contractors, agents, acting for, or on behalf of, Pro-Temp®.  Every employee and associated person acting for, or on behalf of, Pro-Temp® is responsible for maintaining the highest standards of business conduct. Any breach of this Policy is likely to constitute a serious disciplinary, contractual and criminal matter for the individual concerned and may cause serious damage to the reputation and standing of Pro-Temp®.

Compliance with Laws, Rules and Regulations

Pro-Temp® acts honestly, with integrity and in compliance with all applicable laws, international treaties, relevant conventions and regulations in doing business in any country. All Pro-Temp® employees are required to comply with applicable legal regulations at all times. At the same time, the employees of Pro-Temp® must adhere to internal directives, rules and regulations agreed upon by the Pro-Temp® management.

Financial Responsibility and Accurate Books

Pro-Temp®’s books and records must accurately and fairly present the results of operations and the financial condition of the company. This helps us make responsible business decisions and disclose truthful and timely information to the owners. False or misleading entries are strictly prohibited, and DRILL does not condone any undisclosed liabilities or unrecorded bank accounts or other unrecorded assets established for any purpose.

No employee may authorize payment of Pro-Temp® funds knowing that any part of the payment will be used for any purpose other than the purpose described in the documents supporting the payment.

No action may be taken to, directly or indirectly, defraud, influence, coerce, manipulate or mislead any other employee, officer or director, or any independent auditor or lawyer for the purpose of rendering the books, records, or financial statements of Pro-Temp® incorrect or misleading.

All employees are required to comply with the internal controls that have been established by Pro-Temp®.

Each employee has an obligation:

  • to inform his or her immediate supervisor, or any of the Partners and the Quality Management Representative of any errors, or possible errors or misstatements, in Pro-Temp® ’s books and records, including its financial statements, promptly after such errors or misstatements are discovered or suspected;
  • to report any actual or suspected breaches or violations of Pro-Temp®’s internal controls to any of the Partners and the Quality Management Representative promptly after such breaches or violations are discovered;
  • to report any actual or suspected fraudulent or questionable transactions or occurrences that come to the attention of the employee to any of the Partners and the Quality Management Representative promptly.

Fair Competition and Anti-Trust

Pro-Temp® respects the rules of free and fair competition in all business relations and in particular not act against any competition and/or antitrust law. Pro-Temp® applies the highest commercial ethical standards and competes within the framework of competition rules. DRILL shall not be part of any illegal price cooperation, illegal market sharing or other practice in violation of applicable competition laws.

Economic Sanctions

Pro-Temp® ensures compliance with any international sanctions that are in place and does not have business or dealings with a sanctioned country, group, organization or individual. Regular checks are made against Pro-Temp® CRM register to ensure that sanctions are followed.

Corruption, extortion and bribery

Pro-Temp® conducts its business in compliance with the anti-corruption laws and regulations in force in all countries which commercial activities are carried out and planned. Pro-Temp® refrains from any corrupt actions to obtain or retain business or obtain any improper advantage.

Pro-Temp® nor its employees, consultants, contractors, agents, acting for, or on behalf of, Pro-Temp® do not, directly or indirectly, solicit, receive or offer any form of a bribe, kickback, or other corrupt payment, to or from any person or organization. Pro-Temp® refrains from any form of corruption or even actions that could potentially be construed as such. Pro-Temp® may not offer, promise or grant illegal benefits to national or international public officials or decision-makers in order to achieve a preferential treatment or favorable decision.

Counterfeit Products & Parts

Pro-Temp® purchases material and equipment only from authorized manufacturers and suppliers. All Pro-Temp® purchases are traceable: purchase orders, delivery lists, certificates of conformity and other documentation are retained for the required retention period. 

Pro-Temp® maintains and regularly update approved suppliers list and suppliers’ certifications.

All Pro-Temp® employees involved in the purchasing of goods have been informed and trained about the potential for counterfeit, fraudulent and suspect items, and advised that all goods must be purchased directly from the manufacturers or through approved official suppliers and resellers.

In the event that Pro-Temp® discovers counterfeit materials and/or products, those materials will be quarantined and an investigation will be undertaken to discover the source. Full details of the infringement will be reported to the appropriate government trading standards agency for investigation.

Conflicts of Interest

There are many different ways in which conflicts of interest arise but generally a conflict of interest occurs whenever personal interests interfere in any way with the ability to perform job objectively and in the best interests of the company.

While conducting its business activities Pro-Temp® avoids all conflicts of interest and operates with full transparency with respect to any circumstances where a conflict exists or may arise.

Pro-Temp® employees are expected to make decisions based on solid business judgement unclouded by favoritism resulting from personal relations and opinions. Private interests and external activities must not affect, or be considered to affect, the judgement or actions of employees when carrying out their work for Pro-Temp®. Employees must refrain from entering into relationships or transactions that might impair their judgment as to what is best for Pro-Temp®. Even relationships that create the appearance of a conflict of interest should be avoided.

Any employee who is presented with a transaction or relationship which could create a conflict of interest must bring the transaction or relationship to the attention of any of the Partners and the Quality Management Representative.

Sponsorship & Political Contributions

All Pro-Temp® sponsoring measures must be in accordance with applicable current legislation.

It is a Pro-Temp® policy not to donate money or grant any monetary benefits to any political party, government officials and employees.

Whistleblowing and Protection Against Retaliation

Pro-Temp® has whistleblowing procedures to detect, prevent and avoid major misconduct, and also to encourage open communication with employees and related parties. The whistleblowing procedure enables employees, suppliers, partners, customers, and other third parties to report any suspected breach of Pro-Temp® Code of Ethics, DRILL Business Ethics Policy or other policies and directives.

Any concerns about our business conduct, or a potential breach of any policy or directive can be reported anonymously through our whistleblowing channel whistleblower@protemp.cz. All information received will be fully and objectively investigated in a timely and confidential manner, regardless of whether or not it has been received anonymously. All documentation will be kept confidential. We do not tolerate retaliation of any kind against any person who makes a report in good faith.

If any illegal activities or unethical behaviors are found during an investigation, Pro-Temp® will make appropriate improvements, administer sanctions and/or take legal actions; the whistleblower will also be informed appropriately.

No employee or any other person that reports a potential or ongoing violation of valid legal and/or internal standards of Pro-Temp® shall be the subject to recourse, discrimination or revenge from Pro-Temp® or its employees. Pro-Temp® does not tolerate retaliation of any kind against any person who makes a report in good faith.

Confidentiality and Data Protection

All partners, managers and employees, incl. temporary workers, consultants, contractors, agents, acting for, or on behalf of, Pro-Temp® have an obligation to safeguard confidential information about Pro-Temp® and confidential information that our suppliers, customers, and other parties have entrusted to Pro-Temp®. Confidential information is information:

  • that has not been disclosed to the public;
  • that gives Pro-Temp® business an advantage over our competitors;
  • that could expose Pro-Temp® to harm or liability if released prematurely or inappropriately.

Pro-Temp® partners, managers and employees and other involved parties are required to maintain the confidentiality of confidential information entrusted to them, except when disclosure is authorized by an appropriate Pro-Temp® representative, an authorized third-party representative or required by law.

Intellectual Property

Pro-Temp® is aware that its intellectual property (including patents, copyrights, trademarks, know-how and brands) is a valuable asset protection of which is essential to maintain competitive advantage and to make business and social development effective and fast. Therefore, Pro-Temp® protects its business through the proactive acquisition of intellectual property rights. Pro-Temp® adopts proactive approach in its effort to acquire, protect, and utilize intellectual property rights created during the course of its business activities, such as those pertaining to new technological concepts, designs and services.

All Pro-Temp® personnel are expected to respect intellectual property rights and to safeguard them against misuse, theft, fraud or improper disclosure.

In addition, Pro-Temp® respects intellectual property rights of third parties and shall not knowingly infringe them.

Roles and Responsibilities

Pro-Temp® personnel are required to acknowledge and commit to the adherence of responsible business principles of this Policy. Every employee is personally responsible for making sure that Pro-Temp®’s business decisions and activities comply at all times with the spirit as well as the letter of this Policy.

If there are questions about the application of a standard, or if confronted with a situation that presents an ethical issue that is not addressed by this Policy, employees should seek guidance from one of Pro-Temp®’s Partners and Pro-Temp® Quality Management Representative. Partners, managers and supervisors have a special responsibility to lead according to the standards in this Policy, in both words and action.

All concerns, questions and complaints will be taken seriously and handled promptly, confidentially and professionally. No retaliation will be taken against any employee for raising any concern, question or complaint in good faith.

 

 


Grievance Procedure Policy

Preamble

We want to ensure that any employee, supplier or community who feels that they have - or may be - affected by our work can be heard and has the right to file an official complaint about unjust treatment, harassment, and/or health and safety concerns and to seek its resolution.

This grievance procedure policy has been created to:

  • ensure all our employees, suppliers and other stakeholders are heard and treated equally,
  • explain the scope and definition of grievances,
  • outline the process for reporting and closing a grievance,
  • describe the disciplinary action steps for policy violations.

A grievance can be filed against any employee, including senior management and shareholders.

Grievance Procedure

Before filing an official grievance complaint, we kindly ask you to review the policy that directly impacts your complaint.

We also encourage you to resolve minor disputes with the help of a human resource department representative (employees) or the respective BU Manager/KAM (suppliers).

If the informal complaint is not fairly and constructively resolved within 30 days, you may file a formal grievance.

Examples of when to file a grievance:

  • You have been victims of workplace harassment.
  • Your health and safety have been compromised.
  • You have witnessed poor supervisor and/or management behavior.
  • There are unjust changes made to the employment agreement.
  • Policy guidelines are violated.
  • There is a dispute between coworkers, suppliers, and/or management.

Personally: to a human resources representative and/or to the Managing Partner

Once the complaint has been submitted you have the right to attend meetings with a witness, appeal decisions, and depending on the severity of the complaint, refuse to attend work in your team until the grievance is resolved.

When a grievance is filed against another employee, the accused also reserves the right to:

  • View and request a copy of the official grievance complaint.
  • Formally respond to the complaint.
  • Attend all formal meetings with a witness.
  • Appeal the final decision.

It is our responsibility to:

  • Accept and thoroughly investigate all grievances.
  • Ensure that the grievance is resolved within 60 days, depending on the severity of each case.
  • Treat both the complaintive and the accused fairly throughout the grievance process.
  • Adhere to the no-retaliation policy when employees file a complaint against management.
  • Organize mediation meetings with the appropriate parties.
  • Practice a high level of confidentiality throughout the grievance process.
  • Accept and investigate all appeals.
  • Ensure that the final decision is implemented.
  • Maintain accurate and comprehensive records of each grievance.

If an employee is found to have violated the grievance procedure policy, they will be subject to disciplinary action, up to and including termination. The severity of each case will determine the type of disciplinary action, which may include a verbal or written warning, suspension, and/or termination.

 

 


Information Security Policy

By information security, Pro-Temp® means a continuous process of ensuring information protection at required levels in terms of its confidentiality, complexity, accessibility and undeniability. Pro-Temp® achieves the required levels of such information security through administrative, organization and technical measures in all areas of their business activities.

For internal purposes, Pro-Temp® shall define categories of information from the perspective of required level of securing. Pro-Temp® creates, processes and maintains especially information of business character and personal data governed by the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data. The protection of such information is governed by special internal regulations.

The main goal of Pro-Temp® is the protection of information from unauthorized alterations, from a disclosure to unauthorized persons, from unacceptable inaccessibility, from forge; these threats could be a result of an intervention by force majeure, of intentional act of strangers or of intentional act or negligence of Pro-Temp® employees.

These security goals are achieved through administrative, organization and technical measures adopted in software security, development security, data security and communication security.

Legal regulations, standards, directives and recommendations are the key sources for the security administration in Pro-Temp®; these have to be respected in the course of the security administration process.

This security policy applies to all work sites of Pro-Temp®, all business activities and services and products provided by external suppliers. 

 

 


Rules of Responsible Marketing

Preamble

These rules govern the basic philosophy and principles directing our marketing communications, promotions, and advertising:

  • to all products and services offered and provided by us;
  • through all platforms and media;
  • in all markets where we operate;

 especially with regards to the protection of fair competition and consumer rights.

Principles

Our marketing and advertising communication and promotion of our products and services:

  • is based on social and professional responsibility and corresponds to the generally respected principles of decent communication in business relations;
  • does not lead to violation of any binding legal regulations, to anti-social behavior or to the transgression of ethical and moral standards or good practice in any countries or fields in which we carry out our business activities;
  • is always honest, transparent, truthful, and does not spread misleading information or data;
  • is decent, does not reduce human dignity and does not contradict general standards and customs in the respective country and culture;
  • does not support or approve any form of discrimination, including on the basis of race, nationality, religion, gender, age, disability or sexual orientation;
  • does not take advantage of the possible ignorance or lack of experience of our customers;
  • does not support the creation of prejudices and superstitions;
  • does not misuse professional data, especially research results or citations from technical and scientific publications;
  • does not hide or mask its true commercial mission and goals;
  • respects the principles of fair competition of competitors, does not denigrate competitors, persons or companies, organizations or institutions, business activity, products or services;
  • does not use the good name of another company, firm, person or institution;
  • does not contain or display any claims, potentially dangerous situations, practices or activities that could cause mental, moral or physical harm to children or adolescents;
  • does not promote wasteful or irrational consumption of raw materials or energy from non-renewable sources, nor does it support behavior that damages the environment beyond a socially acceptable level.

Range

Compliance with this policy applies to all employees of our company as well as employees of subsidiaries and sister companies. We also require compliance with this policy from subcontractors working on our premises. We enforce this policy with all our subcontractors and suppliers. We are governed by the laws of the countries in which we operate and are committed to complying with all such laws during the implementation of this policy.

 

 


Supplier Code of Conduct & Sustainability Policy

Preamble

This Supplier Code of Conduct & Sustainability Policy (hereinafter referred to as “the Code) sets out the minimum requirements for our Suppliers to operate in accordance with responsible business principles and in full compliance with all applicable local and international laws and regulations.

The Code applies to all our direct Suppliers – including Contractors, Agents and Consultants. This includes Suppliers’ board members, employees of all level and others who act on behalf of or represent the Supplier.

Our Suppliers are expected to meet the requirements detailed in the Code throughout their business relationships with us.

Compliance

Suppliers are required to comply with all applicable laws and regulations of their country of origin, with applicable laws and regulations of countries where they operate, as well as with all applicable international treaties, relevant conventions, and guidelines set by international organizations.

Where differences exist between applicable laws, regulations and the Code, the Suppliers shall follow the strictest requirements.

Working conditions

Forced or Involuntary Labor

We expect our Suppliers to prohibit forced or compulsory labor in all its forms and types, incl. forced labor, involuntary labor, labor of unqualified persons or involuntary labor of prisoners).

Child Labor and Young Workers

Our Suppliers shall not engage in child labor or any work that deprives a child of its childhood, potential, dignity or that is harmful to its physical or mental health or development. The expression “child” applies to any employed person of under 15 years of age (or, respectively, 14 in countries, where permitted by law), any person who has yet not achieved the age requested for the completion of compulsory education, or any person who has yet not reached the age as required by law in the respective country, whichever of the options is the highest.

Employment Conditions, Wages and Benefits

Our Suppliers shall provide their workforce with remuneration that meets any national legal standard on minimum wage. They are required to ensure the payment of wages in legal tender, at regular intervals and directly to the workers concerned. Our Suppliers should keep an appropriate record of such payments. Deductions from wages are permitted only under conditions and to the extent prescribed by the applicable law, regulations or collective agreement, and Suppliers should inform the workers concerned of such deductions at the time of each payment.

Suppliers must ensure that all employees are provided with written agreements of employment setting out employment conditions in a language understandable to the individual concerned.

Working Hours

Our Suppliers are required to comply with all relevant laws and regulations concerning working hours, including overtime labor and they shall ensure that working hours are not excessive.

Freedom of Association and Collective Bargaining

Our Suppliers are required to respect statutory rights of employees to defend their interest, to assemble, to bargain collectively or not to engage in employee organizations including the union organizations. They shall create favorable employee conditions and maintain effective programs of communication with employees as a tool to develop positive relationship with employees.

Non-Discrimination

Our Suppliers shall treat employees with dignity and respect and provide a work environment that is free from harassment and abuse. Suppliers shall not engage in employment practices that discriminate based on traits unrelated to the performance of an employee’s job. Employees shall not be subjected to medical tests or physical exams that could be used in a discriminatory way.

Diversity, Equity, and Inclusion

Our Suppliers shall create workplaces that reflect diverse communities, and where everyone feels seen, heard, valued, and empowered to succeed – regardless of gender, race, ethnicity, religion, disability, family responsibility, sexual orientation, social origin, age or experience. They should promote diversity, equality and inclusion as core values within their companies.

Workplace Environment

Our Suppliers shall provide their employees with a safe and healthy working environment that considers workers' general health and wellbeing. This means that Suppliers’ employees shall be protected from an environment that could have a negative impact on their physical and/or mental health. The Supplier shall regularly monitor the workplace environment (incl. ergonomics, lighting, temperature, ventilation, sanitation, etc.) and take any remedial actions necessary. Offices and industrial facilities must be maintained in accordance with the standards set by applicable laws and regulations.

Emergency Preparedness

Our Suppliers are required to identify, assess and be prepared for emergency situations. This includes worker notification and evacuation procedures, emergency training and Pro-Temp Plus, appropriate first aid supplies, appropriate fire detection and suppression equipment, and adequate exit facilities. Suppliers shall regularly train employees on emergency planning, responsiveness as well as medical care.

Human Rights

Our Suppliers shall support and respect the protection of internationally proclaimed human rights and to ensure that they are not complicit in human rights abuse.

Our Suppliers are required not to discriminate applicants when hiring and employing employees due to their race, religion, age, nationality, social or ethnic background, sexual orientation, sex, sexual identity, marital status, pregnancy, political opinions or disabilities. All employees should be treated equally and with respect.

Our Suppliers shall not use corporal punishment, threaten employees with violence or other forms of physical violence or harassment. They are required to respect personal dignity, privacy and personality rights of each individual.

Business Ethics

Sanctions

Our Suppliers shall not have business or dealings with a sanctioned country, group, organization or individual.

Corruption, extortion and bribery

Our Suppliers are required to comply with all anti-corruption laws that prohibit bribes, kickbacks, or other corrupt actions to obtain or retain business or obtain any improper advantage.

Suppliers shall not directly or indirectly solicit, receive or offer any form of a bribe, kickback, or other corrupt payment, to or from any person or organization.

Suppliers shall not, directly or indirectly, offer gifts to our employees, representatives, or anybody acting on our behalf or anyone closely related to these, unless the gift is modest, and the time and place is appropriate. Hospitality, such as social events, meals or entertainments may be offered if there is a business purpose involved, and the cost is kept within reasonable limits. The gifts or entertainment must not be given in exchange for any consideration and must not create the appearance (or an actual or implied obligation) that the gift giver is entitled to preferential treatment, an award of business, better prices or improved terms of sale. During a contract negotiation, bidding or awarding period, all hospitality, gifts or expense coverage must be avoided, irrespective of value.

The Supplier shall refrain from any form of corruption or even actions that could potentially be construed as such. The Supplier may not offer, promise or grant illegal benefits to national or international public officials or decision-makers in order to achieve a preferential treatment or favorable decision.

Accuracy of records

Suppliers are committed to transparency, verifiability and accuracy in their dealings, while respecting their confidentiality obligations. All accounting information must be correct, registered, and recorded in accordance with applicable local and international laws and regulations.

Sponsorship & Political Contributions

All sponsoring measures by Suppliers must be in accordance with applicable current legislation. Suppliers shall not donate money or grant any monetary benefits to any political party unless permitted by law.

Confidentiality and Data Protection

Our Suppliers must maintain the confidentiality of confidential information entrusted to them, except when disclosure is authorized by an appropriate Pro-Temp Plus representative or required by law. Confidential information includes all non-public information that might be of use to competitors or other third parties or harmful to Pro-Temp Plus if disclosed; it also includes information that third parties have entrusted to us. The obligation to preserve confidential information continues even after a Supplier’s business relationship with us ends.

Suppliers shall not misuse any information about Pro-Temp Plus of a confidential nature, as may be further specified in the contract between Pro-Temp Plus and the Supplier.

Intellectual Property

Our Suppliers are required to respect intellectual property rights and shall not knowingly infringe the intellectual property rights of us or any third party. They are obliged to manage technology and know-how in a manner that protects intellectual property rights.

Fair competition and anti-trust

Our Suppliers are obliged to respect the rules of free and fair competition in all business relation, in particular not to act against any competition and/or antitrust law. They shall apply the highest commercial ethical standards and compete within the framework of competition rules. No Supplier shall be part of any illegal price cooperation, illegal market sharing or other practice in violation of applicable competition laws.

Conflicts of Interest

Our Suppliers shall avoid all conflicts of interest while co-operating with us and to operate with full transparency with respect to any circumstances where a conflict exists or may arise.

Suppliers shall avoid situations where their personal and / or commercial interest, or the interest of their officers or employees may conflict with Pro-Temp Plus ’s interests.

Additionally, Suppliers shall communicate to us if any Pro-Temp Plus employee has any interest of any kind in their business and report any other situation that may be seen as an actual or potential conflict of interest.

Whistleblowing and Protection Against Retaliation

Our Suppliers shall have clear policies and procedures in place so that workers may report concerns about wrongdoing in their workplace without being victimized or dismissed. Suppliers are expected to report any breach of the standards of the Code. We also expect our Suppliers report unethical practices from our employees where observed.

We expect our Suppliers to raise any concerns about our business conduct, or a potential breach of the Code. Concerns can be shared via regular Pro-Temp Plus contact or through our whistleblowing channel whistleblower@protemp.cz. All information received will be fully and objectively investigated in a timely and appropriate fashion, regardless of whether or not it has been received anonymously. All documentation will be kept confidential. We do not tolerate retaliation of any kind against any person who makes a report in good faith.

Intoxicating Substances

While at work for Pro-Temp Plus our Suppliers are not permitted to be under the influence of intoxicating substances, including alcohol and drugs. Limited amounts of alcohol may be served when local custom and occasion makes this appropriate, provided that the consumption is not combined with operating machinery, driving or any other activity that is incompatible with the use of alcohol.

Responsible Sourcing of Raw Minerals

Our Supplier shall implement and enforce a policy to assure that the minerals in the products they manufacture do not directly or indirectly finance or benefit perpetrators of serious human rights abuse.

Counterfeit Products & Parts

Our Suppliers should refrain from purchasing material and equipment from unauthorized manufacturers and suppliers. All their purchases should be traceable: they should retain purchase orders, delivery lists, certificates of conformity and other documentation for the required retention period. They should maintain and regularly update their approved suppliers list and suppliers’ certifications. Suppliers’ employees involved in the purchasing of goods should participate in regular training about the potential for counterfeit, fraudulent and suspect items, and be advised that all goods must be purchased directly from the manufacturers or through approved official suppliers and resellers.

Use of Private or Public Security Forces

Our Suppliers should declare and demonstrate that ensuring security is vital for sustainable development. When required, they are expected to collaborate with public security forces to help maintain stability and safety. Their collaborations will be guided by the principles of transparency, accountability, and respect for human rights. They should not engage in or support of any activities that involve human rights abuses, discrimination, or violations of international law. Our Suppliers are expected to refrain from private military activities or from using private security forces.

Environment

We require our Suppliers to operate and develop the business with respect for the environment. Suppliers are expected to operate the business in an environmentally-friendly, proactive way. The Supplier shall have procedures in place for identifying, monitoring and evaluating environmental impacts to enable continuous environmental performance improvements to be made.

Suppliers should comply with all relevant local and national environmental laws as well as international standards, obtain and maintain all the necessary environmental permits, approvals and registrations.

In addition, Suppliers should develop and implement effective environmental management systems that support identifying risks, measuring and monitoring performance, and driving continual improvements to mitigate or minimize environmental impacts emanating from its operations. 

Land, Forest and Water Rights and Biodiversity

Our Suppliers are expected to identify ways to decarbonize through optimizing their operations and business processes, transitioning to low-carbon and renewable energy sources, and exploring new technologies. They should operate their facilities in a manner that reduces consumption of resources and emissions to the environment. They should operate in a manner that reduces the amount of hazardous and non-hazardous waste generated at the source, sending zero waste to landfill, and promoting circularity principles. They are expected to protect water sources and reusing water wherever possible to reduce consumption. We require that our Suppliers contribute to the protection and conservation of natural capital across their operations. They should not contribute to deforestation through their operations or supply chain.

Emissions & Energy Efficiency

Our Suppliers are expected to regularly track and document energy consumption and greenhouse gas emissions.  Suppliers are also to look for cost effective methods of improving energy efficiency by minimizing their energy consumption and greenhouse gas emissions, considering a life cycle perspective. 

Renewable Energy & Carbon Emissions

Ours Suppliers should minimise their environmental impact and carbon footprint by ensuring that environmental sustainability is integral to all of their activities. They should utilise the solar advantages whenever possible to provide daytime and passive heating needs. They should strive for best practice in energy efficiency and should optimize their use of renewable energy sources, including purchasing green power from accredited sources. They are expected to minimise embodied energy in construction materials and product purchases.

Water Consumption

Our Suppliers are expected to preserve water resources and to monitor and reduce water consumption.

Air Quality

We require our Suppliers to monitor air emissions and establish an air emissions management plan.

Resources & Waste Management

Our Suppliers shall minimize environmental pollution and make continuous improvements to reduce or eliminate solid waste, wastewater and air emissions by implementing appropriate conservation measures in their production, maintenance, and facility processes.

Our Suppliers are expected to set targets for waste reduction and establish a waste management hierarchy in the following order of priority: prevention, reduction, reuse, recovery, recycling and finally waste disposal. They should handle and dispose of all generated waste through safe and responsible methods that protect the environment and the health and safety of employees and local communities.

Responsible Chemical Management

We require our Suppliers to identify and manage chemicals to ensure their safe handling, storage, use, recycling and disposal.

Noise Emissions Reduction

Our Suppliers must adhere to all local, regional, and national regulations regarding noise emissions. Their operations must meet or exceed noise emission standards established by relevant authorities and industry best practices. Suppliers are expected to conduct thorough noise impact assessments to identify potential sources of noise emission from their activities and their potential effects on nearby communities and the environment. They should implement effective noise reduction strategies including investing in modern and quieter equipment and machine, implementing engineering controls to reduce noise at its source, opting for low-noise construction techniques and methods, establishing noise barriers and soundproofing measures where applicable and optimizing transportation routes and schedules to minimize noise impact.

Animal Welfare

 

Our Suppliers are obliged to declare their commitment to animal protection and sets principles for its activities and behavior in relation to animals, esp.

Wild, domestic, and farm animals’ protection.

Compliance with all binding local and international animal protection laws as well as ethical and moral standards aimed at greater protection of animals against cruelty.

Our Suppliers do not cooperate with companies or institutions that support or profit from animal cruelty.

Implementation

Our Suppliers are required to acknowledge and commit to the adherence of responsible business principles of the Code. We have a right to assess our Suppliers’ compliance with the Code through audits, self-assessments and documentation reviews.

We expect and encourage our Suppliers to develop and implement relevant management systems, appropriate for a company of their size and industry to ensure compliance with applicable laws and regulations and the requirements of the Code.

When our Suppliers purchase any material or avail the services of a third-party, they shall ensure that their suppliers are taking care of social and environmental factors and integrating these factors within their procurement operations.

Breach

Supplier shall promptly report to Pro-Temp Plus notice of known breach of the Code and implement a corrective action plan to cure all non-compliance.

In the incident of severe violations of the Code, we reserve the right to take actions including and up to termination of contracts.

 


Security Policy

The protection of the security of employees, information and material property to the benefit of customers, candidates, proprietors, business partners and other stakeholders is of fundamental importance at the conduction of business activities of Pro-Temp®.

We pledge to permanently improve the security of our employees, candidates and their personal data, business information, as well as other tangible and intangible property and to prevent damages caused by crime or careless or irresponsible acts. We will conduct our activities in a manner which would protect our employees, information and property in full compliance with valid legal regulations and requirements of state administration and local governments.

We are fully aware that this is a long-term commitment which requires continuous improving of our procedures, processes and facilities, in compliance with the latest trends in security development.

This policy applies to all work sites of Pro-Temp®, all business activities and services and products provided by external suppliers. 

  

 


Sustainable Energy Policy

 

Preamble

Pro-Temp® strives to use energy in the most efficient, cost effective, and environmentally responsible manner possible while monitoring and maintaining equipment for all activities and processes of the Company. Conservation energy consumption from business operation is part of the business that partners, managers and employees at all levels promote, support and consider to be a direct joint responsibility.

The purposes of this policy are:

-         to define Pro-Temp® approach to managing energy,

-         to optimize energy use throughout Pro-Temp®,

-         to improve cost-effectiveness and productivity,

-         to enhance working conditions,

-         to reduce greenhouse gas emissions,

-         to contribute to sustainability and

-         otherwise reduce waste associated with energy use.

 

This Policy applies to all Pro-Temp® employees, and to temporary workers, consultants, contractors, agents, acting for, or on behalf of, Pro-Temp®. Any breach of this Policy is likely to constitute a serious disciplinary, contractual and criminal matter for the individual concerned and may cause serious damage to the reputation and standing of Pro-Temp®. Dedicated management members have additional energy related responsibilities as outlined in respective Pro-Temp® policies and procedures.

Compliance with Laws, Rules and Regulations

Pro-Temp® strive to comply with laws, customer requirements and regulations related to energy conservation and management effectively as well as provide adequate support for resources and information to achieve objectives, goals, and maintain energy management systems.

All Pro-Temp® employees are required to comply with applicable legal regulations at all times. At the same time, the employees of Pro-Temp® must adhere to internal directives, rules and regulations agreed upon by the Pro-Temp® management.

Responsible Energy Use

Pro-Temp® promotes the efficient use of energy to produce and deliver world class products and services to our customers.  We are committed to responsible energy use and will practice energy efficiency in all processes, wherever it is cost effective.

To implement this Policy, we will:

  • use only efficient and cost-effectively equipment and technology, resources and energy to suit operational characteristics and accepted international practices by adopting 4Rs strategies: Reduce, Reuse, Recycle and Replacement, which will lead to sustainable energy development,
  • consider energy efficiency as a factor in our service delivery, in process and facility design and in the procurement of goods and services,
  • continuously improve energy efficiency by establishing and implementing strategic energy management practices that support our service capabilities while providing a safe and comfortable work environment,
  • procure adequate and dependable energy supplies at the most advantageous rate and implement appropriate risk contingency plans to protect operations from supply interruptions,
  • communicate, preserve, and promote and raise awareness of stakeholders in contributing to energy conservation, substitute energy development and renewable energy development, reduce pollution, reduce energy loss, and increase energy efficiency throughout the product life cycle in achieving sustainable development goals,
  • encourage continuous improvement in energy conservation by employees,
  • define and review objectives, strategies, plans and goals for the development of energy management systems in accordance with Pro-Temp® Environment Management System (EMS),
  • use energy consumption data to drive performance improvements,
  • measure, review and communicate our progress on a regular basis to ensure availability of information to our employees.

Sustainable Energy Policy Governance

Governance and responsibilities development and review of this Policy is the responsibility of Pro-Temp® Operations Manager, who is responsible for

Pro-Temp® EMS and Environmental Sustainability.

Pro-Temp® Operation Manager is responsible for ensuring that adequate resourcing is provided and that the implementation of this policy is delegated to competent persons charged with preparing appropriate procedures and controls and for supervising energy management activities.
